Why conduct furniture inspections before shipment?

1. Verify that the finished products match the specifications confirmed by the customer. Furniture involves numerous visual parameters-such as panel colors, dimensions, hardware styles, and upholstery fabrics-and factories may sometimes substitute materials or simplify production processes without authorization. Pre-shipment inspections allow for the timely detection of discrepancies, preventing disputes that might otherwise arise only after the goods reach the overseas port.
2. Identify defects arising during production and storage. Furniture is highly susceptible to scratches, dents, damaged finishes, loose structures, and stiff hardware during assembly and stacking. If such defects are discovered only after shipment, the costs associated with returns or replacements-including high ocean freight and port demurrage charges-would be substantial.
3. Confirm that protective packaging meets the requirements for long-distance ocean transport. Vibrations and humidity during transoceanic shipping can easily damage furniture; we inspect protective elements such as cartons, edge protectors, and foam padding to ensure they are properly applied, thereby preventing transit damage caused by inadequate packaging.

I. Pre-inspection Prerequisites
1. Conduct comparisons against customer-approved samples, drawings, purchase orders, and color swatches;
2. Sampling plan: Standard AQL sampling; zero tolerance for critical defects;
3. Inspection lighting: 600–1000 lux (natural light or standard light source);
4. Viewing angle: Observe appearance from a distance of 40 cm at a 45° angle;
Defect Classification
Critical Defect (CR): Safety hazards, material falsification, or serious regulatory non-compliance; the entire batch is rejected immediately upon discovery.
Major Defect (MAJ): Affects usability, structural instability, or significant cosmetic defects; rejected if the quantity exceeds the acceptance limit.
Minor Defect (MIN): Slight cosmetic imperfections that do not affect functionality; acceptable within specified limits.
II. Core Inspection Items
1. Verification of Quantity, Markings, and Materials
Count the quantity of finished products and match them one-to-one with order models and SKUs;
Verify materials (e.g., solid wood, MDF, plywood, fabric, leather types) to prevent the use of inferior substitutes;
Check for the presence of product nameplates, labels, instruction manuals, and accessory packs; ensure text and language comply with target market requirements.
2. Dimensional and Specification Inspection
Measure overall length, width, height, and diagonals using tape measures and calipers;
Dimensional tolerances: ±5mm for standard external dimensions; ±2mm for precision dimensions such as door gaps and cutouts;
Ensure dimensional consistency across the batch to avoid assembly mismatches.
3. Appearance and Craftsmanship Inspection
Panel/Solid Wood Furniture
Surfaces must be flat, free from dents, bulges, cracks, wormholes, or decayed wood;
Paint or laminate finishes must be uniform, free from scratches, dings, color variations, runs/sags, bubbles, or stains;
Edge banding must be tight, with no delamination, curling, or chipping; corners and edges must be sanded smooth, free from burrs or sharp edges;
Wood grain and patterns must match the approved sample.
Upholstered Furniture (Sofas, Upholstered Chairs)
Fabrics must be free from tears, pulled threads, stains, color variations, or large areas of skipped stitches;
Stitching must be straight and seams uniform; padding must be full, with no sagging or unevenness;
Leather must be free from cracks, peeling, or abnormal odors.
Metal/Glass Components
Metal frames must be free from rust, paint loss, or welding burrs; tempered glass must be free from scratches, edge chipping, or cracks.
4. Structural Stability Testing
Place the item on a level surface and shake it to test stability; no significant wobbling or tilting is permitted;
Ensure all connection points (screws, mortise-and-tenon joints) are secure, with no looseness or abnormal noises;
Ensure no sharp edges that could cause injury; conduct basic load-bearing stability tests on cabinets and chairs to eliminate the risk of tipping over. 5. Functional Testing of Hardware and Moving Parts
Cabinet hinges: Smooth opening and closing, proper spring-back action, and uniform door gaps;
Drawer slides: Smooth operation without sticking or detachment;
Handles, locks, lifting mechanisms, and folding components: Fully tested for proper functionality;
Hardware fittings: Free from rust or coating defects.
6. Assembly Compatibility
Randomly selected samples are fully assembled to verify component fit; no issues such as misaligned holes, missing parts, or assembly failures.
7. Odor and Preliminary Compliance Check
On-site assessment for pungent odors; verification of environmental compliance reports (formaldehyde, VOCs) if required by the client; for export products, attention is paid to target market regulations regarding fire safety, REACH, etc.
8. Packaging Inspection (Critical for Sea Freight)
Product edges and corners protected with corner guards, EPE foam, and foam separators to prevent scratches from transport friction;
Carton strength meets standards; adequate moisture-proofing measures applied;
Outer carton markings and destination labels are clear and accurate;
Accessories individually packaged to prevent impact damage to the product inside the carton.
III. Common Grounds for Rejection (Critical / Major Defects)
1. Loose framework or structural deformation, posing safety risks of tipping or breakage;
2. Materials do not match specifications (e.g., engineered wood passed off as solid wood, ordinary fabric passed off as genuine leather);
3. Extensive cracking or structural breaches;
Accessible sharp corners or points posing a risk of injury;
Complete failure of core hardware, rendering the item unusable;
Inadequate protective packaging, making the item highly susceptible to extensive damage during ocean transport.
